Onboarding


Click here for the New Hire Checklist that outlines the onboarding process. Please use this document to ensure you are completing each step of the onboarding process timely. Not doing so can impact your start date with Mount Carmel.

Workday:

Your login username and password will be emailed to you within 48 hours of your signing your offer letter. It is expected that you complete all your Workday onboarding tasks from home. If you are having issues logging into Workday, please contact Information Resources at 614-234-8700. If you have questions or are having issues with your Workday inbox items, please contact the HR Service Center at 1-877-750-HR4U (4748). 
**A new password must be set up within 60 days or the account will become inactive.

Access Workday Outside of Mount Carmel: You can access Workday from any internet-accessible device by following this link.

First Advantage Background Check:

You will receive a link from our background check vendor, First Advantage, for completion. Please ensure you are checking all your e-mail folders for this link. Please complete within 24 hours of receipt. This is an approved request, please do not delete. Please reach out to your recruiter/TA Coordinator with questions. Their contact information is located in your Welcome email.

Complete your I-9 Form

This step can be completed virtually through our partner Equifax and must be completed prior to your start date. Once you have signed your offer letter in workday, you should receive two important emails from Equifax at donotreply@equifax.com. Use the link in the first email and the password from the second email to log into the Equifax I-9 system. Click here for a step-by-step job aid to assist with completing this requirement.

  • Email #1: “Important: Form I-9 is Due Before your First Day” - This email includes the link to complete section 1 of your Form I-9
  • Email #2: “Form I-9 Password Information” - This email contains your unique password to log in and complete the I-9
  1. Enter Section 1 Information
    • Include all last names: You should include all last names you have used, including your maiden name (if applicable).
    • Include hyphens and apostrophes: If your name has a hyphen or apostrophe, you will need to include it.
  2. Virtual Section 2 Verification
    • Your I-9 Section 2 Verification will be done virtually using video conferencing/virtual meeting technology. After completing Section 1 of the I-9, you will upload a photo of the front and back of your documentation, then you will click to meet with a virtual agent to verify your documents.
    • The hours to meet with a virtual agent are Monday–Friday 7:00 am – 7:00 pm CT / 8:30 am – 7:00 pm CT If you are completing Section 1 outside of these hours you will be notified to return to complete the portion of meeting with a virtual agent during the hours of operation.
    • To be prepared for the virtual I-9 Section 2 Verification, be in a quiet well-lit room as the agent will be confirming your identity on camera. Have your documents ready to share with the agent and ensure your camera and microphone are turned on.
  • From beginning Section 1 of the I-9 to finishing Section 2 with a virtual agent, it should only take between 10-15 minutes. Please set this time aside so you can finish the process in full.

Fingerprinting:

If fingerprinting is a requirement for your job, you’ll schedule the appointment with your recruiter during the verbal offer. Fingerprinting takes place at Mount Carmel East in the HR Suite room 118 in the Siegel Center at 6001 East Broad Street, Columbus, Ohio 43213. You’ll use the yellow entrance (pictured on the map) to enter the Siegel Center. Once you enter the Siegel Center, you’ll continue straight until you make your way to the first hallway on the right. Turn right down the hall and continue straight until you find room 118 on the right-hand side. Follow the fingerprinting signs to make your way to the HR Suite. Click here to see a parking map.
